A venue can look excellent in a presentation. It is worth finding out how everyone—and everything—gets there.
Start with where your guests are coming from.
For a corporate event in Bangalore, map the audience before finalising the venue. Are people travelling from one office, several campuses, hotels or the airport? Are they arriving together or making their own way? The answer influences location, transport and the arrival window.
Check realistic journey conditions for the actual day and time as planning develops. Treat travel estimates as estimates and give the programme enough flexibility to welcome people properly. A networking period can provide breathing room when it has a useful purpose of its own.
Walk the complete route.
A recce should include the drop-off, parking, entrances, lifts, registration area, toilets and routes between event spaces. Check accessibility with the venue and consider how guests with different mobility needs will move through the experience.
Then walk the production route. Where can a vehicle unload? Which door can the set pass through? When is access available? What restrictions apply to installation and removal? A wide ballroom tells you very little about a narrow loading entrance.
Understand what the venue actually includes.
Confirm the available production time, included equipment, technical restrictions and the people responsible for approvals. Ask the venue and technical specialists to validate the proposed setup, including power, rigging and sound requirements.
Get scope and timings in writing. Compare venues using the full requirements of the event: a room rate or a photograph alone will not show the complete production cost. Allow time for a proper rehearsal and for the space to be ready before guests arrive.
Give the alternative plan an owner.
For outdoor elements, agree what happens if conditions make the original plan unsuitable. Establish who decides, when the decision needs to be made and how the team will communicate it. Confirm the alternative space and the practical time needed to move.
